Position Overview

The HR Coordinator plays a vital role in supporting the full employee lifecycle, from onboarding and orientation to engagement and internal communications. This position ensures a smooth and welcoming experience for new hires, coordinates employee events that foster a positive workplace culture, and serves as the liaison for internal communications-managing newsletters, social media content, and company-wide announcements. Additionally, the HR Coordinator maintains accurate personnel records, supports policy administration, assists with payroll and benefits updates, and partners with leadership to ensure timely follow-up on key HR actions. This role requires strong organizational skills, discretion with confidential information, and a proactive, team-oriented mindset.

Key Responsibilities (Essential Duties and Functions)

  • Assists in the hiring and onboarding process, including prepares and distributes offer letters and pre-employment paperwork, coordinates background checks and drug screenings, and submits IT requests for new hire equipment and access. Serves as the primary point of contact for new hires throughout the onboarding process, ensuring a smooth and welcoming experience
  • Conduct new hire orientations, including delivering the company overview presentation, verifying I-9 documentation, distributing welcome materials, reviewing key company policies, and entering new employee information into the HRIS system
  • Assist in the planning and coordinating of employee engagement initiatives and events-including recognition programs, wellness activities, and team-building events-to foster a positive workplace culture and enhance employee morale.
  • Serve as the internal communications liaison, managing content for company social media platforms, drafting and distributing quarterly newsletters, composing leadership communications, and coordinating announcements for new hires, promotions, and other key updates to ensure consistent and engaging messaging across the organization
  • Administrative responsibilities including maintaining the electronic database of personnel files, accurate entry of personal data assist in special projects, including compilation of data, data analysis and report preparation/generation, analysis and distribution of reports as requested by management
  • Acts as the go-to resource for office coordination-assisting with meeting setups, maintaining supply inventory, organizing and decorating shared spaces, and ensuring a clean, welcoming, and well-functioning office environment.
  • Assist with the maintenance of local policies and procedures, including employee handbook, and disseminating this information to employees, as needed
  • Partner with HR specialist to process employee terminations, including entry, calculations and routing of appropriate paperwork
  • Assist with the process, while working as needed with payroll and operations, to ensure wage increases and benefits are updated accurately, and timely
  • Coordinates all priority actions and ensures follow-up; responds promptly and efficiently to information requests from senior management, external managers or functional heads
  • Be a champion of company HR initiatives and safety culture
  • Maintains professional demeanor in dealing with critical/confidential information; restricts discussion/knowledge of activity to a "need to know" basis
  • Regular and predictable attendance at assigned times is required
  • Other duties as may be assigned

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education/Experience

  • High School diploma or general education degree (GED) required.
  • 2+ years related in administration experience.
  • Experience in payroll and/or timekeeping preferred.

Work Requirements

  • Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Knowledge of general office practices and procedures. Knowledge of grammar, spelling, and punctuation. Skill in operating a computer to store data and general reports.
  • Ability to add, subtract, multiply and divide. Ability to use general office equipment such as a calculator, personal computer, copy machine, fax machine, mail machine, etc. Verbal and written communication skills needed. Ability to pay close attention to detail with minimal errors. Ability to perform 10K by touch.
  • Must be 18 years in age or older.
  • Must pass pre-employment physical, drug screen and criminal background check.
  • Must possess a valid driver's license.
  • Able to safely drive a vehicle.
  • Regular required attendance and reporting ready to begin work at the designated start time.
  • Strict adherence to safety requirements and procedures as per company policy.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
  • Individuals are required to wear personal protective equipment (PPE) in designated operations and production areas as stated by OSHA and/or MSHA.
  • Compliance with all OSHA and/or MSHA regulations.

  • Highly developed verbal and written communication skills and an ability to work with Management
  • Strong problem solving skills preferred.

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • May occasionally lift move/carry up to 10 lbs. and occasionally use exertion forces of pushing/pulling of up to 10 lbs.
  • Frequently required to sit, stand, walk, talk and hear, use hands and fingers to manipulate objects for extended periods of time.
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.

Work Environment
  • Standard office environment.
  • Visits to outdoor work locations/ job sites as needed
  • Tempo is fast-paced with deadlines.
  • The noise level in some areas of the work environment may be moderate.
