Administrative Support Professional (Finance)



H 2M architects + engineers, a multidiscipline architectural, engineering, and environmental consulting firm seeks a motivated and detail oriented part-time Administrative Assistant [20 hrs/week] to assist with various administrative and project-related tasks under the direction of the project manager. Responsibilities include data entry into our Customer Relationship Mgmt. Software (CRM), and assist with the coordination of administrative/project activities related to forensic and industrial hygiene work.

The role is flexible, requiring 4 hours of work each day from Monday to Thursday, with a mandatory commitment on Fridays from 1PM to 5PM. Ideal candidates will be organized, proactive and able to work independently while contributing to team goals.

Job Responsibilities:

  • Performs word processing for assigned group and support the staff with administrative/office/project related tasks as needed (i.e., formatting and editing of correspondence, memos, proposal preparation, meeting minutes, project submissions, reports, newsletters / brochures, invoices, presentations, lunch ordering, etc.)
  • Performs designated administrative tasks (i.e., setup meetings: arranging time, organizing meeting room, and setting up/clean-up of supplies if needed), copying, scanning, filing, etc.
  • Input of new work from clients (insurance companies) into project tracking software; assist with internal project setups; track/report on project milestones, deadlines and close-out and updates when final deliverables are completed. Provides excellent customer service (answer telephones and direct client calls).
  • Receive and process new project assignments and project requests with project team members or clients; maintains the assignments via usage of CRM program system.
  • Handle daily distribution of mail and help manage office (paper/pens, kitchen supplies, etc.) Interfaces with other departments and outside vendors for support services (HR, IT, Accounting, Marketing, Building Management, vendors).
  • Coordinate efforts within the team and with outside consultants; keep the team posted by reporting updates verbally, and in writing, to management and clients (laboratories, ladder company, engineers/architects, sub consultants, etc.)
  • Assist in the tracking/maintenance of Forensics and Industrial Hygiene Department professional licensing and certifications.
  • Provides Front Desk support as needed.
  • Performs other like duties as assigned.

Education/Qualifications:
  • High school diploma required. Associates or Bachelor's degree preferred
  • min 3-5 years' experience as an Administrative/Executive Assistant required, preferably preferably in the A&E, Environmental or Forensics industry supporting a large group of internal and external clients.
  • Must be a team player - reliable committed to the team's success.
  • Working knowledge of MS suite including Word, Excel, Access, Outlook and Power Point required.
  • Must be well organized; able to multi-task and prioritize a diversified workload.
  • Ability to communicate effectively with employees at all levels of the organization.

The pay range for this role is $24 - $31.25/hour
