The Mail Services Admin will report to the Admin Services Manager in the CDB Back Office Operations department. This role is responsible for being a front-line team member in the Omaha, NE Distribution center. The role requires attention to detail needed to ensure high quality output that is free from errors.
Responsibilities:
Starting and operating commercial-sized printers and other distribution center equipment each morning to ensure smooth workflow and minimal downtime
Producing hard copies of letters, statements and other printed materials
Opening, sorting, and processing incoming mail, for scanning and distribution to other departments
Receiving and recording incoming UPS, FedEx and priority mail packages for processing
Digitizing physical documents by scanning them into electronic formats
Checking scanned documents for clarity, completeness, and accuracy
Looking up accountholders in transactional databases
Applying necessary metadata tags to documents scanned to Laserfiche
Processing reports for bank deposits
Assisting internal customers with their printing and scanning needs, providing guidance on best practices, and addressing any issues or concerns
Consulting with external suppliers and equipment and print vendors as needed to ensure continuity of business
Using specialized software for document management and scanning operations
Complying with security protocols to protect sensitive information during scanning and printing processes
Performing routine maintenance on printers, resolving print errors, and ensuring optimal printer performance
Shredding sensitive documents to ensure confidentiality and secure disposal
Performing all tasks needed to prepare documents that need to be retained for a certain period of time for secure storage at Iron Mountain
Utilizing professional transportation for the delivery and pickup of mail
Helping to monitor the inventory of supplies such as paper, check stock, ink, toner, envelopes and other consumables
