Construction Accounting Specialist

If you enjoy digging into numbers, solving problems, and keeping projects financially on track, this is the role for you. You'll play a critical part in our construction team, managing project accounting tasks and ensuring accuracy in every detail. Your work will help us stay efficient, organized, and ready to deliver outstanding results.  The Construction Accounting Specialist's primary responsibilities are assisting the Construction Accounting Supervisor with any and all accounting functions for the construction projects and overhead.

What You'll Do:

  • Manage, execute, and monitor the accounts payable process, including processing Construction overhead invoices, billbacks, etc.
  • Process project-related invoices, including coding, verification of phase codes, and uploading backup.
  • Align project accounting workflow to feed the monthly draw process.
  • Assist in the preparation of the weekly check run process, process checks, review, and distribute checks.
  • Assist in managing prepay vs pay-when-paid vendors and processes weekly check run accordingly.
  • Analyze and review vendor statements for accuracy; resolve discrepancies and check credit balances.
  • Review monthly credit card expenses for accuracy, conduct import and reconciliation.
  • Request, submit, track, and log W-9 forms.
  • Create, maintain, and audit new and existing vendors.
  • Respond to vendor inquiries and provide necessary information.
  • Assist the Construction Accounting Supervisor with the preparation of daily, weekly, and special reports and/or communication.
  • Monitor and process emails from the Construction AP inbox or distribute them to the appropriate party.
  • Answer phone, email, and mail inquiries; research questions, and provide accurate information.
  • Notify and escalate issues to the Construction Accounting Supervisor as necessary.
  • Work with the Construction Accounting Supervisor to establish and implement construction financial department objectives.
  • Work on special projects as assigned.
  • Attend company meetings when requested.
  • Organize, upload, and file appropriate reports and paperwork.
  • Perform any additional duties assigned by the Accounting Supervisor.

What Makes You a Great Fit:

  • Associate degree in accounting, finance, or related field desired but not required.
  • 3 years of prior Accounts Payable experience preferred.
  • Experience in Viewpoint Construction software preferred, but not required.
  • Strong attention to detail, organizational skills, and proficiency in accounting software.
  • Familiarity with construction industry billing processes and compliance standards is desired, but not required.
  • Ability to manage multiple tasks and meet deadlines.
  • Strong communication skills and a collaborative mindset.
  • An eagerness to learn and grow within a fast-paced construction environment.
