Executive Assistant (Hybrid) (Finance)

About the Role:

We are seeking a highly motivated, detail-oriented, and proactive Executive Assistant to join our dynamic team. This pivotal role will provide dedicated support to three Human Resources People Business Partners across Prudential's Group Insurance, Life, and Retail Advice Solutions businesses. The ideal candidate will be a master of organization and time management, responsible for coordinating calendars, preparing materials for meetings, arranging travel itineraries, and contributing to key HR initiatives. This is a unique opportunity to play a vital role in supporting strategic HR leadership across multiple lines of business within a fast-paced and collaborative environment.

The current EWA for this position is Hybrid (Newark) and requires your on-site presence on a reoccurring basis as determined by your business.

Key Responsibilities:

  • Manage executive calendars and schedule appointments.
  • Prepare for meetings, including drafting agendas where applicable.
  • Partner and collaborate effectively with Executive Assistants across Global Retirement and Insurance, and the HR community.
  • Plan and coordinate travel arrangements (typically domestic).
  • Support HR initiatives and projects.
  • Partner with People Business Partners to gather and synthesize data.
  • Develop and maintain HR standard operating procedure (SOP) playbooks for each supported business, including coordinating executive onboarding and related documentation.
  • Coordinate the scheduling and tracking of meetings for cyclical HR processes (e.g. talent reviews, succession planning and performance calibration).

Qualifications:

  • Proven experience as an Executive Assistant or in a comparable administrative support capacity.
  • Strong organizational and time management skills with a focus on operational excellence.
  • Excellent communication and interpersonal abilities.
  • Ability to navigate ambiguity.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Teams).
  • Willingness to embrace technology, including AI tools.
  • Ability to handle sensitive and confidential information with discretion and integrity.
  • Critical thinking skills with a proactive approach to identifying and resolving issues.

What we offer you:

Prudential is required by state specific laws to include the salary range for this role when hiring a resident in applicable locations. The salary range for this role is from $69,200.00 to $103,000.00. Specific pricing for the role may vary within the above range based on many factors including geographic location, candidate experience, and skills.
