We are searching for a motivated & experienced OfficeCoordinator This role involves providing comprehensive front desk coverage throughout our facility and delivering valuable administrative support to the production and human resources divisions. This includes managing office communications, facilitating essential tasks, and actively assisting HR operations, such as tracking applications, participating in the interview process, and aiding the on-site recruiter in maintaining accurate employee records. The ideal candidate will bring with them recruitment proficiency, a strong foundation in Human Resources practices, and a mastery of general administrative duties. ESSENTIAL RESPONSIBILITIES & ACCOUNTABILITIES: Other duties may be assigned. Implement and adhere to established office workflow procedures to optimize efficiency.Manage effective filing systems, ensuring proper organization and accessibility of files and records.Provide administrative support to the production department, including managing schedules, coordinating meetings, and handling communications. Assist in tracking production timelines to ensure projects meet deadlines.Assist in preparing production reports, including data analysis and presentation of key performance indicators (KPIs).Maintain accurate and organized production records, documenting processes, quality control measures, and relevant updates.Address administrative needs within the production team as they arise.Coordinate with different departments, including Human Resources and Safety, to ensure company policy compliance.Support the implementation of new production initiatives and process improvements, including KPI data tracking.Play a pivotal role in the recruitment/hiring process, which includes sourcing candidates, conducting interviews, checking references, performing background checks, and issuing offer letters.Foster a positive candidate experience by providing timely communications and information throughout the application process.Collaborate with the onsite recruiter to generate and submit reports on recruitment activities.Offer front desk support by greeting guests and visitors, addressing employee inquiries regarding payroll and benefits, and handling employee complaints.Assist in various ad-hoc projects related to Production, Quality, Safety, and HR.Ensure compliance with federal and state laws, executive orders, HR policies, and procedures.Support the safety manager in maintaining workers' compensation records and data.Act as a "Human Resources Triage" by addressing internal and external HR inquiries and requests.Coordinate logistics for new hire orientations and safety trainings.Gather and assemble required documents for employee onboarding. Perform other duties and responsibilities as assigned by the Plant management, contributing flexibly to the overall team effort and the efficient functioning of the company. In addition to the essential duties and responsibilities listed above, all positions are also responsible for: Meeting company standards pertaining to quantity and quality of work performed on an ongoing basis, performing all work related tasks in a manner that is in compliance with all Company policies and procedures.Adhering to Company policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments. Must follow all Company Safety policies, as well as all GMP regulations and all lock-out/tag-out requirements according to OSHA requirements. As an employee you must also be aware of issues associated with food safety and safe food handling practices that are relevant to your job. Formal training is not required, but in house Food Safety Training conducted by a qualified staff member is mandatory. You must know how to recognize, prevent and alleviate food safety hazards. This position requires good working knowledge of the SQF code. Requirements: 1-2 years of experience in an administrative support.Associates degree or administrative support certification or equivalent work experienceProficient in Microsoft Word, Excel and Power Point. Good communication skills, both written and verbal. Good interpersonal skills.
