The USF Wellness departments support the holistic health and wellness needs of USF students in order to optimize well-being and enhance student success. The Center for Student Well-Being {SWELL) serves as the main health promotion branch of these units providing education, awareness, and outreach offerings to students, utilizing an evidence based and best-practices approach to college health and wellness. Reporting to the Senior Director of the Center for Student Well-Being, the Administrative Support Specialist will perform a wide range of administrative and general office duties. These include often times serving as the first point of contact for the department and oversite of the department shared email. In addition, the Administrative Support Specialist will provide purchasing support, prepare and making travel arrangements including travel reimbursement for staff, ensure purchases and payments are made in a timely manner. Reconcile P-Card charges, manage pertinent department contracts, complete required documents for reserving space on campus and for catering orders, assist with supporting technical aspects of a health coaching program and an on line educational program, and perform other administrative duties as required to support the mission and function of the unit.This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position. Uses P-card to conduct purchases for needed items within the department, and reconciling these purchases. Executing purchase orders, arranging and coordinating travel including reimbursement for staff, managing room, space, catering, and event reservations for staff when needed. Provide support in managing various contracts. Communicates professionally, with accuracy, and in a timely fashion to/with stakeholders using a variety of mediums/technologies based on target audiences to include the following: directors, program faculty, students, vendors, community partners, and/or college or campus personnel. Provides support in managing online educational platforms and health coaching. Provides support in managing relevant department shared email and listservs. Creates reports and attends team meetings, where needed.
