Event Planner (Finance)



Job Summary

Plan, coordinate and execute all logistics for Medline's orthopedic division events under the guidance of Sr. Director of event planning.
Including: regional and national educational courses, conferences, sales meetings, surgeon customer visits, R&D labs.
The role plans and manages 1 – 3 internal customer meetings per month and 2 external events per month on average. These meetings and events require working closely with each individual customers, UNITE regional managers and leadership, compliance and Senior Director of event planning.

Job Description

  • Coordinate with orthopedic division, sales reps, compliance, outside vendors and venues to plan, schedule, and organize all meetings and events, including flights, ground transportation, hotel accommodations, AV orders and F&B.

  • Support all event planning and logistics for regional and national courses, national sales meetings, national sales trainings, national conferences (tradeshow exhibits/sponsorships), surgeon customer visits, and R&D labs at company headquarters.

  • Provide on-site support for all events

  • Source, negotiate pricing/contracts, and reserve venues for meetings and events, including restaurants, hotels, and other venues.

  • Complete & submit all required forms for events.  Tavel request forms, customer visit forms, and compliance pre-approval forms

  • Coordinate and track shipments and returns of product demos, displays, samples, supplies, equipment, and other materials for all events

  • Create and manage online event registrations

  • Manage all communications with event attendees

  • Process and record event invoices and track physician spend and input into compliance spreadsheet

Education

Bachelor's degree.

Relevant Work Experience

At least 2 years experience in marketing, event planning, or travel/hospitality industry.

Experience negotiating with outside vendors, including negotiating contracts, prices, resolving service issues and reconciling differences.

Experience controlling and coordinating concurrent projects and critical deadlines

Additional

Position requires occasional early morning, late evening and weekend availability for work and travel.

Position requires travel up to 25% of the time for business purposes (within state and out of state).

Intermediate level skill in Microsoft Excel

The anticipated salary range for this position:

$63,960.00 - $92,560.00 Annual

The actual salary will vary based on applicant's location, education, experience, skills, and abilities. This role is bonus and/or incentive eligible. Medline will not pay less than the applicable minimum wage or salary threshold.
