Receptionist and Office Management Specialist (Project Management)

What You'll Do

  • Maintain switchboard, reception area, conference rooms, and cafeterias' on a daily basis at firm headquarters.

  • Answer client and general calls/inquiries at reception desk.

  • Register visitors with building security, greet visitors upon arrival and contact appropriate parties.

  • Assist employees with reserving conference rooms and conference room lines

  • Respond to general Office Management inquiries

  • Special projects as assigned by Operations Department Manager

  • Order office supplies for firm headquarters, request new employee login credentials to order supplies, and track monthly spending for each branch 

  • Keep inventory and replenish office supplies as needed

  • Assist with mailroom duties as needed

  • Update and keep track of monthly invoices for various vendors

  • Schedule maintenance for office equipment and appliances

  • Request new employee FedEx credentials and track monthly spending

  • Assign, update, and terminate access with building security

  • Other duties, as they arise.

Qualifications

  • 3-5 years of experience

  • High School Degree

  • Previous secretarial, administrative assistant, office services experience supporting various management levels and prioritizing tasks and deliverables

  • Proficiency with Office Suite, email, and Outlook

  • Strong verbal and writing skills

  • Customer-focused in dealing with all levels of employees and visitors while maintaining confidentiality

  • Advanced computer skills

Compensation:

The estimated salary range for this role is $36,000 - $47,000 along with eligibility to earn an annual bonus. Actual salaries may vary based on several factors, such as a candidate's qualifications, skills, and experience.
