Mail Services Clerk (Temp) (Finance)

Under the general supervision of the Department Manager, the Mail Services Clerk is responsible for the daily distribution of all incoming/outgoing mail, primary backup switchboard operator and assist with the maintenance of our internal project tracking system.

Essential duties and responsibilities include, but are not limited to:

  • Responsible for the daily distribution of all incoming mail and processing of all outgoing mail including FedEx/UPS etc. (All mail should be distributed by end of day. All mail must be date and time stamped correctly to meet Compliance needs.)
  • Ensure postage machine has sufficient supplies such as sealer, postage ink etc.
  • Ensure stamp machine date is changed at the beginning of the month and the ink tape is replaced when needed.
  • Cover front desk daily. Answer incoming phone calls and route them appropriately. Greet and assist visitors and internal staff.
  • Required to move items (i.e. furniture, water bottles and boxes) upon request
  • Assist internal departments as necessary with special projects and/or miscellaneous assignments.
  • Assist with Track DTS ticket monitoring that come in. Assign the ticket and ensure it gets completed in a timely manner.
  • Restock all breakrooms supplies and copy paper. Ensure all machines function well.
  • Work with purchasing to ensure all mailing supplies are ordered and restocked weekly.
  • Ensure break rooms (3rd and 16th floors) are restocked daily. Ensure checklist is completed and placed in a visible location.
  • Perform other duties as required by the Manager.

  • Minimum Experience:
    • Previous experience as a clerk or similar position.
  • Education/Licensure:
    • High school diploma
  • Other:
    • Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
    • Mathematical Skills: Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
    • Reasoning Skills: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
    • Computer Skills: Advanced skills required, mastery of word processing and data entry, and the willingness to augment knowledge with ongoing classes.
    • Other Skills and Abilities:
      • Ability to read, write, and speak English fluently.
      • Ability to type 40+ words per minute and file systematically.
      • Shorthand or equivalent and ability to take and transcribe minutes.
      • Demonstrates accuracy, consistency, and promptness.
      • Is attentive to detail, tactful in all dealings with the public and co-workers, and demonstrates good judgment in assessing situations and choosing the proper course of action.
      • Consistently demonstrates thorough knowledge of English grammar, punctuation and composition in the preparation of correspondence, reports and statements.
      • Works well with others and relates well to people at all levels.
      • Accepts constructive criticism well.
      • Always willing to adjust personal schedule to respond to department's needs.
      • Consistently works in an independent manner with little or no need for direct supervision.

Pay range may be based on a number of factors including market location, education, responsibilities, experience, etc.
